In reality, acceptance depends not only on language, but on whether the document complies with the legal and procedural requirements of the receiving jurisdiction.

Official documents are not merely texts — they are legal instruments. By definition, a document is any written or electronic record capable of proving legally significant facts. In administrative practice, this includes certificates, contracts, court decisions, and civil status records, all of which carry evidentiary value and must meet formal requirements.

For this reason, a translation that is linguistically correct may still be rejected if it does not comply with local standards. According to the Union of Translators of Russia (UTR) recommendations (Written Translation – Recommendations for Translators, Clients and Editors, 2nd ed.), translation quality must be assessed not only in terms of language, but also formatting, terminology consistency, and compliance with applicable conventions (available at: https://www.russian-translators.ru/projects/metodologicheskie-rekomendatsii/01/).

The same principle applies in the Greek administrative context. National guidelines establish strict rules regarding document structure, signatures, seals, and formal presentation. These elements are not optional — they directly affect the legal validity and acceptance of documents.

At the supranational level, the European Union Interinstitutional Style Guide (available at: https://style-guide.europa.eu/en/ ) further reinforces this approach. It provides detailed rules on terminology management, typographical conventions, referencing systems, and access to legal sources such as EUR-Lex, ensuring consistency and legal clarity across all official EU texts. These standards are not purely editorial — they are part of a broader system that guarantees the uniform interpretation and legal reliability of documents across member states.

In cross-border use, differences in certification procedures, recognition of translators, and legalization requirements (such as apostille or consular legalization) further complicate the process.

Therefore, translation of official documents should be understood as a multidisciplinary task involving language, law, and administrative practice. Only by aligning all three can documents move successfully between jurisdictions and be accepted without delay.

One common misconception in document translation is that linguistic accuracy guarantees acceptance by authorities.
