When one surname becomes three: A real case from practice

At first glance, it looked like a minor inconsistency.

A client submitted a set of documents issued in different countries. The surname appeared in three versions:
— in a Russian document: ***икиди
— in one Greek document: ***ικίδη
— in another Greek document: ***ικίδου

From a linguistic perspective, everything was correct. From an administrative standpoint, however, it was a problem. Authorities outside Greece treated these as three different surnames.

What caused the issue?

The reason lies in the structure of the Greek language. Female surnames are typically derived from the genitive case of the corresponding male form. For surnames ending in -ίδης (e.g. Αγγελίδης), the female form may appear as:
— -ίδη (modern standardized form)
— -ίδου (genitive form, often used in official documents)

In Greek, these are not different surnames but grammatical variants of the same name. However, once documents cross borders, grammar turns into legal risk.

Why it matters

In international procedures, authorities rely on formal consistency of personal data, not linguistic interpretation.

Even minor differences can lead to:
• additional verification requests
• delays in processing
• rejection of document sets

As practice shows, linguistic accuracy alone is not enough — documents must also comply with administrative and legal requirements.

How this issue can be resolved

Resolving such inconsistencies requires formal procedures, which vary by jurisdiction.

In the Russian Federation, one option is an official name change procedure to align the spelling with the Greek form. In Greece, the process is more complex, but solutions exist. If a person has not yet obtained Greek citizenship and does not have multiple Greek documents, a correctly prepared translation of the original birth certificate may help establish consistency.

In more complex cases, resolution may require legal procedures, including court proceedings.

Takeaway

Resolving name inconsistencies is not just a linguistic task — it requires legal strategy and careful planning. At AN Translations, we help ensure documents are consistent and accepted without unnecessary delays.
